
A qualified enquiry is the beginning of a sales conversation. A clear follow-up process helps your team handle that opportunity consistently and gives you better information about which leads are useful.
You do not need a complicated system to start. You need an owner, a clear next step and a record of what happened.
Give every new enquiry an owner
Choose who will receive and respond to incoming leads. Agree on cover when that person is on a job or away. An enquiry sent to a shared inbox can still be missed if everyone assumes someone else is handling it.
Set a response target your business can reliably meet during its operating hours. Measure what you actually achieve rather than making an unsupported claim about a perfect response time.
Read the context before making contact
Check the service requested, location, project details and the prospect’s stated timing. Use that information to make the conversation relevant. Confirm any important self-reported details without making the person repeat the entire enquiry.
For example, a useful opening is: “You asked about a flooring project in your garage. Is now a suitable time to discuss the area and the finish you have in mind?” Adapt the wording to the actual service and enquiry.
Respect the contact permission
Use the channels and purposes the person was told about. An enquiry is not a blanket permission to send unrelated promotions. Australian commercial email and SMS rules address consent, sender identification and unsubscribe facilities. Honour requests to stop contact and keep accurate preferences in your records. Plan a reasonable follow-up sequence instead of repeatedly contacting someone without context.
Agree on a concrete next step
At the end of a useful conversation, confirm what happens next. That might be a site visit, a quote, photographs of the project or a later discussion with the decision-maker.
Record the next action and its owner. If you promise a quote or a callback, make it easy for your team to see that commitment.
Separate lead quality from sales outcomes
Track objective qualification issues separately from sales outcomes. An enquiry for an unsupported service is a different issue from a suitable prospect choosing another quote.
- Qualification: Did the enquiry meet the agreed criteria?
- Contact: Was the person reached through an appropriate channel?
- Progress: Was an appointment, inspection or quote arranged?
- Outcome: Was the work won, lost or still being considered?
These distinctions make feedback to your lead provider more useful. They also help you identify whether the next improvement belongs in targeting, qualification, response handling or the quote itself.
